New Geotab Tools Target Fleet Fraud, Idling Costs

Geotab’s Fuel Transactions tool and Preventable Idling Rule tackle fuel fraud and idling inefficiencies, offering fleet managers enhanced oversight and cost-saving opportunities.

Geotab introduced two new tools aimed at reducing fuel-related costs: Fuel Transactions and a Preventable Idling Rule with automatic power take-off (PTO) identification.
Fuel remains one of the largest operating expenses for fleets, accounting for more than 20% of total costs. U.S. on-highway diesel prices now average more than $5.35 per gallon, up from $3.66 in 2025, increasing demand for tools that help fleets manage fuel exposure. Geotab said it has seen a 41% increase in demand for fuel-related insights.

Fuel Transactions Links Purchase Data to Vehicle Use
Geotab said Fuel Transactions, now available in MyGeotab, connects fuel card data with vehicle diagnostics in a single view.

“The challenge most fleet managers face when trying to control costs is that the data they need is fragmented, delayed, and difficult to act on,” said Charlotte Argue, senior manager of sustainable mobility at Geotab.

According to the company, the tool replaces manual reconciliation processes with continuous monitoring, helping fleets identify discrepancies between fuel purchases and actual vehicle use.

Fraud Detection and Data Matching
Geotab said Fuel Transactions flags three types of anomalies:

Fuel volumes that exceed a vehicle’s tank capacity;
Transactions where fuel type does not match the vehicle; and
Purchases where location does not match the vehicle’s position.
The company said fleet managers can filter and review flagged transactions with access to trip data, location history, and asset details.

According to Geotab the tool supports different fleet configurations, allowing transactions to be matched by vehicle or driver depending on how fuel cards are assigned.

Fuel fraud remains a concern across the industry. According to WEX, fraud rates reached 12% in 2024, including unauthorized card use and skimming.

At ACT Expo 2026, Stephen White, associate vice president of global strategic accounts at Geotab, is taking part in a panel on fleet fraud. He, alongside experts from WEX and DataVisor, will dig into the threat landscape to see where fraud is heading as technology evolves.

Idling Rule Targets Avoidable Fuel Waste
Geotab also introduced a Preventable Idling Rule that separates operational idling from avoidable fuel use by identifying PTO activity.

The company said data from three million vehicles across the U.S. and Canada shows heavy-duty trucks idle a median of 1.8 hours per day, consuming about 1,200 to 1,500 liters of diesel annually.

The new rule uses sensor data or engine diagnostics to detect when PTO equipment is active and excludes that time from idle calculations.

Fleet Impact
Geotab said the updated tools are designed to help fleets identify fuel cost inefficiencies earlier and act before costs accumulate.

Fuel Transactions is generally available, while the Preventable Idling Rule with PTO identification is currently in beta.
